The 20 files in the due diligence toolkit, one by one

Everything a compliance office needs to run its customer due diligence documentation from day one: the matrix, the guides, the policy, the forms, the minutes, the control dashboards, the client letters and the team training. Twenty files in Word, Excel and PDF. Every rule is traceable to the article that requires it and to the document where it can be verified.

The Legal Design edition of the Matrix Guide is the entry document. It presents the model in layers — the rule in one sentence, what to do, and the legal basis — with the decision tree that assigns the diligence type, the timeline of each document and one card per client type. If you only read one file before handing the rest to your team, read that one.

The templates come fully drafted, not blank. Fields you need to complete are shaded pale yellow and the parameters we propose are in blue, so what has to be decided is visible at a glance. Three cases run through the whole package — María, a low-risk salaried employee; Distribuidora del Norte S.A., a moderate-risk legal entity; and Roberto, a former minister and therefore a PEP — and all three are fictional.

Before the supervisor's visit

Before the supervisor's visit

This package is the design of your documentation policy. We say it here rather than in the fine print: before the compliance office can defend it in front of the supervisor, four things are still yours to do.

  1. 1

Approve, in minutes, the twelve parameters that Acuerdo CONASSIF 12-21 leaves to the entity — review frequencies, alert windows, the simplified diligence threshold, use of the RTBF, exemptions, small businesses, lists and third parties — together with the reasoning. Template 08 exists for exactly that.

  2. 2

Adapt the documentation policy to your entity: scope, named role holders and the parameters you have just approved. The fields shaded yellow are precisely the ones to change.

  3. 3

Check your own superintendency's specific guidelines. The ones included are SUGEF's; entities supervised by SUGEVAL, SUGESE or SUPEN must verify theirs, as article 4 of Acuerdo CONASSIF 12-21 requires.

  4. 4

Load your real client portfolio into the expiry dashboard and spread the year's updates across the annual plan, checking them against your team's capacity. A plan that exceeds capacity breaks on its own.

Acuerdo CONASSIF 12-21 left twelve parameters to each entity's judgement and requires the decision to be motivated. A policy that copies deadlines from another regulation with no minutes to justify them is a finding, however reasonable those deadlines are.
